Description
Role:
The Submissions Team Junior Administrator is responsible for providing administrative support to the Submissions Department, ensuring that all project submissions and compliance documentation are accurately completed and submitted on time. This role involves working closely with senior team members to manage documents, track submissions, and assist in ensuring that all retrofit and energy efficiency projects comply with relevant regulations and funding requirements.
Key Responsibilities:
1. Administrative Support:
* Assist the Submissions Team Leader and other senior administrators with day-to-day tasks, including data entry, document preparation, and correspondence.
* Help maintain organised records of all project submissions, ensuring documentation is up-to-date and easily accessible.
* Ensure accurate and timely submission of project-related documents to funding bodies, regulatory agencies, and other relevant stakeholders.
2. Document Management and Data Entry:
* Handle document management, including filing, scanning, and uploading of project-related paperwork to the company’s software system.
* Enter and maintain accurate data on all submissions, ensuring that all necessary information is logged and updated promptly.
* Support the team in preparing compliance documentation to ensure all submissions meet funding requirements, such as ECO4 and GBIS.
3. Compliance and Quality Checks:
* Assist in checking submission documents to ensure they meet compliance standards and regulations, including PAS 2030/35.
* Collaborate with senior administrators to perform quality checks on submissions before they are finalised, helping to ensure that all documentation is correct and complete.
4. Communication and Liaison:
* Communicate with internal teams such as Retrofit Coordinators, Energy Efficiency Managers, and Customer Service to gather necessary information for submissions.
* Provide status updates to the Submissions Team Leader and other senior staff, ensuring they are informed about the progress of submissions.
* Handle routine customer inquiries regarding submission documentation and project status, providing professional and timely responses.
5. Reporting and Progress Tracking:
* Help track the status of submissions, ensuring all required deadlines are met and that submissions are processed efficiently.
* Assist in preparing reports for the Submissions Team Leader and senior management, highlighting submission progress and any potential issues.
* Update internal tracking systems to monitor the progress of ongoing projects and ensure all documents are submitted according to schedules.
6. Support for Senior Administrators:
* Provide general administrative assistance to the Submissions Team Leader and senior administrators, helping with more complex or time-sensitive tasks as needed.
* Take on additional responsibilities as delegated by senior staff to help support the smooth operation of the Submissions Department.
Key Tasks:
* Data Entry: Accurately log and update information for project submissions in the company’s systems.
* Document Management: File, organise, and manage project-related documents and compliance records.
* Compliance Checks: Assist in performing compliance and quality checks on all submission documentation.
* Communication: Liaise with internal teams and provide status updates on submissions.
* Support Senior Team Members: Assist with administrative tasks, reporting, and special projects as required.
Collaboration:
* With Submissions Team Leader: Provide administrative support and help ensure the timely submission of project documentation.
* With Retrofit Coordinators and Energy Efficiency Managers: Collaborate to gather necessary information for project submissions.
* With Customer Service: Communicate updates on submission status to customers and other stakeholders.
