We have an exciting opportunity for an experienced Personal Assistant to work for Devon and Cornwall Constabulary at their headquarters in Middlemoor, Exeter.
This role will be hybrid working Monday to Friday 37 hours a week and they are paying £13.53 per hour.
Job Purpose –
The principal responsibility of the Personal Assistant (PA) is to provide key organisational and administrative support for up to three designated ‘Principals’ at Chief Superintendent or equivalent level. Providing a professional, efficient and confidential level of service and enabling support to the wider Senior Leadership Team (SLT), ensuring the smooth delivery of portfolio commitments and priorities.
Management of the designated diary commitments of (up to three) Principals to ensure that the daily schedule of work is co-ordinated effectively, categorising and prioritising workflow.
Consider and prioritise incoming telephone calls, correspondence and emails addressed to the Principal, deciding on the most appropriate manner by which it should be dealt with, ensuring only relevant correspondence is filtered through to the Principal.
Organise, administer and accurately record meetings and events on behalf of the Principal, progressing any actions as appropriate and ensuring the Principal is fully briefed in advance of such meetings.
Keep effective record-management system, which maintain the appropriate level of security and sensitivity for the material stored.
Liaising with senior leaders for information (e.g. performance issues, complaints data and attendance data) to inform responses to requests to the PrincipalEssential Criteria
A recognised business administration certification or commitment to work towards such a qualification, or relevant business experience
Good command of the English language to be able to listen to an issue and summarise it eloquently both verbally and in writing
IT literate with demonstrable skills, in particular the use of Microsoft 365 and proficiency in document layout
Ability to quickly gain a good understanding of force IT systems including SharePoint
Strong decision-making skills with the ability to apply practical problem-solving skills to difficulties that arise within all areas of responsibility
Developed interpersonal and organisational skills and the ability to prioritise a range of related duties, under pressure, to ensure that the post holder meets strict deadlines/ targets
Ability to pay particular attention to detail and accuracy, with a methodical approach to service delivery
Proven inter-personal skills with a good standard of English language, literacy and comprehension
Minute taking experience or similar
