In the UK we are currently over 300 strong and our plans are to grow to 400-500 by 2025 through the development our UK nuclear service offerings.

Main Responsibilities:

Daily Administration:

Perform routine administrative tasks to support the smooth running of the site.

Assist Site Managers with various admin tasks on a daily basis.

Support the project management team to optimise their activities.

Training and spreadsheet:

Ensure Training matrix is kept up to date.

Organise training for the new starters and ensure evidence of training is gathered and updated on the Training Matix.

Ensure Employee list is kept up to date with all new starters and leavers.

Present Framatome 15minutes induction/welcome pack to new starters

Visitor Management:

Book visitors to the site and ensure proper documentation is in place.

Meet and greet visitors at reception, providing a professional and friendly first impression.

Accompany visitors around the site as required.

Organising HR1 building visits and requesting site access for visitors.

Order taxis / transportation when visitors.

Stationery and Supplies:

Maintain and manage stationery stocks, placing orders as needed.

Scanning and printing.

Travel Arrangements:

Arrange business travel for the management team, including tickets, hotels, taxis, and visas.

Request car registrations for the car park.

Event Coordination:

Coordinate with Framatome, clients, and contractors to organise on-site events, meetings, and training sessions.

Plan and organise meetings, including booking rooms and ordering catering when necessary.

Financial Administration:

Assist with budgeting, expense tracking, and financial reporting as required.

Process invoices, purchase orders, and expense claims in accordance with company procedures.

Onboarding/vetting support when required:

Liaising with new companies / starters regarding the on-boarding process.

Liaising with Framatome France to induct and support new French workers through the vetting process.

Data entry from the latest BPSS into the HPC WIMS database to process the vetting process.

Ensuring staff are vetted, inducted and competent ready for their works start date to prevent delays to program.

Key Skills and Experience:

Organisational Skills:

Ability to handle multiple interfaces and work within a transversal organisation.

Proven experience in managing various administrative tasks efficiently.

Communication and Collaboration:

Excellent communication and collaboration skills, working effectively with other administrative staff, management, and clients.

Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.

Adaptability:

Flexible, friendly, and adaptable to changing circumstances and priorities.

Proactive and dynamic, with a willingness to take on various tasks and responsibilities.

Technical Proficiency:

Proficient in using office software applications, including Microsoft Word, Excel, and PowerPoint.

Experience:

Previous experience in office administration, preferably in a fast-paced environment.

Experience in an international and multicultural environment (highly desirable).

Knowledge/ experience in WIMS Data Base (desirable but not essential).

Language Skills:

Ability to work and interact in French (desirable but not essential).

Additional Information:

Site based role (in person)

Full-time position with standard working hours, flexibility may be required to meet operational needs.
