Honeycomb Jobs is delighted to be working with a 3rd Sector client, to recruit a temporary Administrative Assistant in South Belfast. The Client – This 3rd Sector organisation provides homes for a wide range of people through building, maintaining and managing them. The Role – This credible post holder will provide a professional administration service for the Community Development team. Duties will include but will not be limited to: Provide a professional administration service for the Association. Carry out general admin duties including taking and relaying messages as appropriate as and when required. Dealing with general operations enquiries and referring to others as appropriate. Assist with the planning and logistical arrangements for meetings and Community Development events. This includes booking rooms, arranging hospitality, setting up and taking down equipment such as gazebos, tables, and chairs, sending invitations, and maintaining an accurate attendance list. Provide administrative and secretarial support, carrying out defined tasks and projects as required to include word-processing documents, data input using in-house databases/programmes, spreadsheets, all aspects of communication with tenants, colleagues and suppliers (including face to face and telephone), photocopying, scanning etc. Regular travel is required to attend and take minutes at Community Development, Tenant Engagement, and ‘Housing For All’ meetings held across the province. Ensure that minutes are accurately produced and distributed within a timely manner, typically within 3 days. Design and produce leaflets, invites, agendas for Community Development meetings & events. To assist tenants who may be suffering from mobility issues. Assist with the maintenance of central, specialised and other records and document management systems, including computerised and financial systems. On a day to day basis, ensure that documentation and other records are properly filed in a timely manner and readily retrievable. Update computerised records, data input, providing reports and performance statistics, as required. Occasionally, physically demanding tasks may be required, such as setting up gazebos and other equipment needed for Community Development events. To collect & return equipment to/from the Community Development stores needed for events. Assist colleagues with archiving of files, arrange appropriate form of storage and transportation as requested. To undertake other such duties of a similar level of responsibility as may from time to time be reasonably required. The Person: As the successful candidate you will have the following background and experience: Essential: 2 GCSEs or equivalent and 6 months’ experience in an office environment OR 1 years’ experience in an admin role AND Proficient use of a range of IT packages including Microsoft Strong communication skills (both written and verbal) Good organisation and time management A full current driving licence and access to a car Desirable Criteria RSA Stage 1 word-processing or equivalent Secretarial duties Previous experience working within the housing sector Minute taking To speak in absolute confidence about this opportunity please send an up to date CV via the link provided or contact David McClure, Principal Recruitment Consultant at Honeycomb on .
