Archives Officer – permanent
Your new company
Hays is working with a law firm in Central Bristol who are looking for an Archives Officer on a permanent basis. Due to the nature of the role, you will be required in the office full-time. Salary for the role is £25,000. Hours are Monday to Friday, 09:00-17:00. Duties of the role include:
- Update the records management database with new files and deeds.
- Coordinate and dispatch file and deed requests to off-site storage vendors.
- Verify deliveries and maintain accurate order sheets and emails.
- Handle file and box deliveries to/from fee-earners, ensuring compliance with agreed service levels.
- Conduct floor walks and liaise with internal clients to ensure timely return of retrieved items to storage.
- Perform various filing duties and maintain accurate data across relevant platforms.
- Address discrepancies in box/deed schedules in collaboration with internal teams.
- Prepare items for storage and produce the necessary labels.
- Process file and deed retrieval requests via email, phone, and written communication within service-level agreements.
- Search archive databases for items requiring retrieval.
- Inspect items returned from storage suppliers for completeness.
- Manage database checkouts for files before distribution.
- Monitor and report key performance indicators (KPIs).
- Verify quantities ordered from preferred storage suppliers.
- Track delivered items by scanning them into the Records Management system.
- Respond to all client enquiries regarding storage matters.
What you’ll need to succeed
Strong proficiency in I.T., demonstrating a solid understanding of relevant systems and tools.Familiarity with internal Records Management systems.Basic knowledge of external Records Management systems.Ability to work autonomously, showcasing initiative and self-direction.A highly organised, methodical, and structured approach to work, ensuring all daily tasks are thoroughly completed.What you’ll get in return
