Services, Suppliers and Utilities
· Be the first point of contact for suppliers, utilities and services used by the Trust – dealing with all queries, negotiating contracts and ensuring correct billing etc.
· Take the lead on Trust carbon-usage and environmental monitoring procedures.
· Ensure procurement procedures are followed for all goods, equipment and services.
· Responsible for regular checking of all alarm systems, stairlift etc. Reading electricity and water meters.
· Packing and dispatch (to post office) of book and merchandise sales from online shop.
Bookkeeping and Credit Control
· Responsible for all bookkeeping duties using SAGE 50cloud Accounts Essentials including:
- Recording all financial transactions
- Maintain company ledgers
- Raising sales invoices, maintaining the sales ledger and monitoring debtors
- Arranging payment of and reconciling of purchase invoices and monitoring creditors
- Generating quarterly VAT returns (and a detailed understanding of VAT & tax codes)
- Reconciliations of all control accounts
- Processing and submitting Gift Aid claim to HMRC
- Monitoring cash flow and ensuring there are always sufficient funds for upcoming payments
- Packing and posting purchased shop stock, recording usage and reconciling stock
- Performing year end stocktake and updating SAGE where applicable
- Maintain the fixed asset registers and posting depreciation journals
- Preparation of quarterly and end-of-year management accounts, producing additional notes for Trustees meetings
- Preparing information required for annual audit, liasing with Accountants as necessary
- Providing administrative and clerical support in the office as needed
- Prepare payments and accruels register for Accountants at year end
- Maintaining petty cash
- Making necessary PAYE payments to HMRC in a timely manner
- Monitor NEST pensions online for actions
- Monthly bank reconciliations
Requirements – minimum 3 years bookkeeper experience, including use of SAGE and EXCEL to a high level. Experience of charity and/or art sector and office management responsibilities, and membership of AAT an advantage.
Job Type: Part-time, Permanent
Part-time hours: 3 days per week (22.2 hours)
Salary: £18,600.00 per year
