We are currently seeking an experienced Office Administrator to play a crucial role in ensuring the smooth day-to-day operations of our office, while also supporting the coordination of our expanding services. A confident self starter with IT literacy skills is highly desirable. Someone with a background in renewable energy would be preferable.
Responsibilities:
· Manage and maintain project files, ensuring all documentation is organised and up to date.
· Schedule surveys for installations, coordinating with customers and our installation teams.
· Prepare pre and post-installation paperwork, ensuring accuracy and timely completion.
· Schedule installations with customers, and ensure equipment is in place.
· Prepare MCS and Gas Safe certificates in compliance with industry regulations and best practices.
· Raise purchase orders with merchants for materials and equipment required for installations, maintaining accurate records and tracking deliveries.
· Schedule regular maintenance and repairs with customers.
· Act as main point of contact and respond to customer queries in a timely fashion.
· Ensure warranties and guarantees are in place.
· Manage engineer diaries
· Issue invoices and track payments
· Maintain register of insurances, equipment inventory, fleet administration and others as required.
· Order stationary, materials, clothing & personal protective equipment etc
· Complete data entry as required
Requirements:
· Proven experience as an Office Administrator or similar administrative role.
· Ability to organise own tasks and work autonomously.
· Strong understanding of renewable energy systems, such as solar panels and heat pumps.
· Familiarity with Easy MCS and Gas Safe or a similar job portal is highly desirable.
· Proficiency in managing and organising project files and documentation.
· Excellent organisational skills and attention to detail.
· Strong communication abilities, both written and verbal, with the capacity to liaise effectively with customers, suppliers, and team members.
· Experience in scheduling and coordinating tasks, preferably in the renewable energy sector.
· Proficiency in using office software, including MS Office (Word, Excel, Outlook).
· Ability to work independently, demonstrate initiative, and solve problems efficiently.
· A customer-centric mindset and a passion for providing exceptional service.
